CozyJobs is a product of OmList LLC ("OmList," "CozyJobs," "we," "our," or "us"). This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use:

  • the CozyJobs platform,
  • related websites and dashboards,
  • the CozyApply Chrome extension,
  • and associated services under the CozyWorld brand.

2. Scope of This Policy

  • documents you upload (e.g., resume/CV),

  • and communications with support.

It does not apply to third-party websites, ATS systems, job boards, or employer portals that you access through our service. Those providers have their own privacy policies and terms.

Depending on how you use CozyJobs, we may collect:

A. Identifiers and Contact Data

  • Account username/login credentials (stored in hashed/encrypted form where applicable)
  • IP address
  • Device/browser identifiers

B. Professional and Employment Data

  • Resume/CV content
  • Work history, education, skills, certifications
  • Job search preferences (title, location, salary, seniority, remote/on-site preference)
  • Saved jobs and application history

C. Application and Account Activity Data

  • Jobs viewed, saved, queued, and applied to
  • Application timestamps and status events
  • Credit usage and plan usage telemetry
  • Feature interaction logs

D. Financial and Transaction Data

  • Subscription plan tier
  • Payment status, billing cycle, invoice metadata
  • Limited payment details from payment processors (we generally do not store full card numbers)

E. Communications Data

  • Support requests and messages
  • Survey/feedback responses

F. Internet/Network Data

  • Log data (time, URL paths, referrers)
  • Cookies and similar technologies

G. Sensitive/High-Impact Content You Provide

  • Resume and cover letter content may include sensitive details you choose to provide (for example, disability accommodations, veteran status, or other special-category information included in documents).

Please avoid providing highly sensitive data unless needed for your intended use.

4. Sources of Personal Information

We collect personal information from:

  1. You directly (account forms, uploads, profile edits, messages).
  2. Your device/browser (cookies, logs, analytics events).
  3. Integrated services you connect or use with CozyJobs/CozyApply.
  4. Application workflow systems when your authorized application activity is routed through our tools.

5. How We Use Personal Information

We use personal information to:

  1. Provide and operate CozyJobs features.
  2. Create and manage your account, subscription, and credits.
  3. Deliver job aggregation, filtering, saved jobs, and matching.
  4. Enable auto-apply and manual-queue workflows when requested by you.
  5. Generate tailored application content (e.g., LLM-assisted resumes/cover letters).
  6. Process billing, invoicing, fraud prevention, and payment operations.
  7. Improve system reliability, safety, and user experience.
  8. Detect abuse, unauthorized access, or policy violations.
  9. Communicate service updates, support replies, and transactional notices.
  10. Comply with legal obligations and enforce our agreements.

6. LLM and AI Processing Disclosure

CozyJobs may use large language models (LLMs) and related AI tooling to assist with:

  • resume tailoring,
  • cover letter drafting,
  • job-specific customization,
  • and application text suggestions.

When these features are used, relevant user-provided inputs (such as resume text, job descriptions, and preferences) may be processed by OmList systems and/or AI infrastructure providers acting on our behalf.

Our AI Processing Commitments

  • We use AI outputs as assistive content; final responsibility for submitted content remains with the user.
  • We restrict internal access to personal data based on business need.
  • We seek contractual safeguards with processors handling user data.
  • We do not intentionally use your private application documents to train public models in a way that identifies you.

7. Cookies and Similar Technologies

We use cookies and related technologies for:

  • authentication and session management,
  • remembering settings/preferences,
  • analytics and performance monitoring,
  • security and fraud prevention.

You can control cookies through browser settings. Disabling certain cookies may affect platform functionality.

8. How We Share Personal Information

We may disclose personal information in the following circumstances:

  1. Service Providers / Processors
    Vendors that help us run the service (hosting, analytics, support, payments, security, AI processing).

  2. Application Routing and Job Systems
    When you direct us to submit or queue applications, we may transmit necessary profile/application data to target systems and related endpoints.

  3. Legal Compliance and Protection
    To comply with law, court order, subpoena, or lawful government request; to protect rights, safety, and platform integrity.

  4. Business Transfers
    In connection with merger, financing, acquisition, reorganization, bankruptcy, or asset sale.

  5. With Your Direction or Consent
    Where you explicitly request or authorize sharing.

9. Data Retention

We retain personal information only as long as reasonably necessary for the purposes described in this policy, including:

  • account operation and subscription records,
  • application history and audit trails,
  • legal, security, accounting, and dispute-resolution needs.

Retention periods vary by data type and legal obligation. When data is no longer required, we delete, de-identify, or anonymize it where practicable.

10. Data Security

We implement administrative, technical, and organizational safeguards designed to protect personal information, including access controls, logging, encryption in transit, and vendor risk management practices.

No method of transmission or storage is completely secure; therefore, we cannot guarantee absolute security.

OmList does not sell personal information for money. If our use of certain advertising or analytics technologies is later deemed “sharing” under California law, we will provide required opt-out controls.

We may process data in the United States and other locations where we or our service providers operate. By using the service, you understand your information may be transferred to and processed in jurisdictions with different data protection laws than your home jurisdiction.

14. Third-Party Services

Our services may link to or interact with third-party job platforms, ATS providers, and websites. Their privacy practices are governed by their own policies. We are not responsible for third-party privacy or security practices.

15. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last Updated” date and provide additional notice where required by law.
